31664 Sales Order Entry, Detail Entry Product Lines (Packages)

 

PURPOSE

 

This article describes the fields and specialized routines that are applicable for packages or sets product entry. A package or a set product contains a number of other products as components. These products are maintained via the packages/sets maintenance programs.

 

For a package/set product, after the QUANTITY has been entered the sales oreder entry program displays the package/set sales screen. This screen in turn displays all of the components of the package/set. Various options exist within the package/set sales screen, such as the ability to add components to the package/set. Upon exiting the package/set sales screen, the sales order entry program then explodes the components of the package/set into the body of the order. The program does this by generating new order lines for each component product of the package/set. This allows for individual shipping methods on a component by component basis.

 

Once a package/set has been exploded into an order, the order will contain the MAIN package/set line as well as each of the package/set COMPONENT lines. COMPONENT lines can have their ship/print options changed, but they cannot be modified or deleted. The only way to delete a COMPONENT line is to delete the MAIN line, which will delete all of the COMPONENT lines for that package/set.

 

If the components of the package/set must be changed, ie. a component added or deleted, the package/set must be modified from within the package/set sales screen before the package/set is exploded into the order.

 

 

PROCEDURE - FIELDS

 

LINE

 

Displays the line number associated with the detail line. See 31661 - SALES ORDER ENTRY, DETAIL ENTRY LINE INITIALIZATION.

 

TP (LINE TYPE)

 

Displays the "P" (Product) Line Type. See 31661 - SALES ORDER ENTRY, DETAIL ENTRY LINE INITIALIZATION.

 

PRODUCT CODE

 

Displays the Product Code as entered at the PRODUCT field. See 31662 - SALES ORDER ENTRY, DETAIL ENTRY PRODUCT LINES (REGULAR).

 

PRODUCT OPTIONS PROMPT

 

The PRODUCT OPTIONS PROMPT displays for regular products. These are product types where the characters "LIN" are not part of the base unit of measure description.

OF (QUANTITY OF or QUANTITY UNIT)

 

Displays the product BASE UNIT OF MEASURE and then automatically advances into the package/set sales screen.

PACKAGE/SET SALES SCREEN FIELDS

 

SET CODE

 

Displays the product code as entered at the PRODUCT code field and the product description.

 

USUAL PRICE - SET

 

Displays the price of the package/set as set in the package/set master file.

 

USUAL PRICE - ACTUAL

 

Displays the accumulated price of all of the package/set component retail prices. This accumulated total is calculated when the package/set calculation process is run and is stored in the package/set master file.


SELLING PRICE - SET

 

Displays the selling price of the package/set. Initially this equals the USUAL PRICE - SET times the quantity being sold. If the package/set FACTOR is based on pricing, then as the package/set is modified this field is also updated. For example, if a component is deleted from the package/set, the SELLING PRICE - SET is reduced by the component "factored" price. See 31008 - PACKAGE MAINTENANCE.

 

SELLING PRICE - ACTUAL

 

Displays what would be the selling price of the set if all of the components were being sold separately at their retail prices. Initially this equals the USUAL PRICE - ACTUAL times the quantity being sold. As the package/set is modified, this field is also updated. For example, if a component is deleted from the package/set, the SELLING PRICE - ACTUAL is reduced by the component retail price. See 31008 - PACKAGE MAINTENANCE.

 

ALT SELLING PRICE - SET

 

Displays the alternate unit of measure selling price of the package/set. The ALT SELLING PRICE - SET displays NONE when:

  • The package/set does not have an alternate unit of measure.
  • The selling quantity is not equal to 1.
  • The package/set is modified.
ALT SELLING PRICE - ACTUAL

 

Displays the alternate unit of measure selling price of the set if all of the components were being sold separately at their retail prices. The ALT SELLING PRICE - ACTUAL displays NONE when:

  • The Package/Set does not have an alternate unit of measure.
  • The selling quantity is not equal to 1.
  • The Package/Set is modified.
FACTOR

 

The FACTOR is calculated when the package/set calculation is performed. See 31008 - PACKAGE MAINTENANCE. Depending on the configuration of your system the FACTOR is either based on pricing or costing.

 

FACTOR BASED ON PRICING
  1. Indicates that when the package/set is modified, the SELLING PRICE - SET will also be adjusted based on the factored (or discounted) price the package/set components.
  2. Indicates that the sales dollars and cost of sales dollars associated with each component will be based on the factored (or discounted) price of each component.
  3. Factor equals: (package/set price) / (total of component retail prices).
  4. Factored price for components equals: (component retail price) * factor.
FACTOR BASED ON COSTING
  1. Indicates that when the package/set is modified, the SELLING PRICE - SET will not be adjusted.
  2. Indicates that the sales dollars and cost of sales dollars associated with each component will be based on the component costs.
  3. Component sales dollars: ((component cost) / (total of all component costs)) * package/set price.
DATE

 

Displays the last time the package/set calculation was performed.

 

SECTION HEADING

 

Displays the section number (prefixed with an "S") and the section description. The section numbers are specified for display purposes. See PROCEDURE - MAIN OPTIONS PROMPT.

 

LINE NUMBER

 

Displays the line number associated with each component. The line numbers are specified for modification purposes. See PROCEDURE - MAIN OPTIONS PROMPT.

 

OPT (COMPONENT OPTIONS)

 

Indicates that there are other product options associated with the component. Component options are typically set up to allow the selection of different colours, materials, finish, etc. of the same product. The component options can be displayed, selected or modified by modifying the associated line. See PROCEDURE - MAIN OPTIONS PROMPT. On a colour monitor, the OPT indicator is displayed in red if the component options on that line have not been addressed (ie have not been displayed, selected or modified). The OPT indicator is displayed in green if the component options have been addressed.

 

PRODUCT CODE

 

Displays the product code associated with each component. The product code can be modified. See PROCEDURE - MAIN OPTIONS PROMPT.

 

QUANTITY

 

Displays the quantity associated with each component. The quantity can be modified. See PROCEDURE - MAIN OPTIONS PROMPT.

 

QUANTITY UNIT

 

Displays the quantity unit associated with each component. The quantity unit can be modified. See PROCEDURE - MAIN OPTIONS PROMPT.

 

DESCRIPTION

 

Displays the product description associated with each component.

 

STK (IN STOCK?)

 

Displays "Y"/"N" to indicates whether or not there is sufficient inventory for this component.

 

ORIG VALUES (ORIGINAL VALUES)

 

Displays the original product code and quantity values associated with each component before any modifications were made.

 


PROCEDURE - MAIN OPTIONS PROMPT

 

When you open the packages/sets sales screen the MAIN OPTIONS prompt displays.

LINE# TO MODIFY

 

Select this option to modify a component's product code and quantity.

 

Enter LINE# to modify.

 

If the line contains options the component options screen and the COMPONENT OPTIONS prompt will display. See PROCEDURE - COMPONENT OPTIONS. If the line does not have options, the cursor advances to the PRODUCT CODE field.

 

 

PRODUCT CODE

 

Select this option to change a component's product code.

 

Enter a valid product code and advance to QUANTITY field.

 

[F1] to access product inquiry by code.

 

Enter a partial code followed by [F1] to start the product display at the string entered. See 30974 - PRODUCT CODE INQUIRY. Enter a partial code followed by [F1] to start the product display at the string entered.

 

 

[F3] to return to MAIN OPTIONS prompt.

 

[F5] to access product information inquiry.

 

Enter a word or partial word followed by [F5] to access word search inquiry. See 30976 - PRODUCT INFORMATION INQUIRY.

 


QUANTITY

 

Select this option to change a component's quantity.

 

Enter quantity and advance to QUANTITY UNITS field.

 

[Enter] to accept displayed component quantity.

 

[F1] to reset original quantity.

 

Select this option to reset the component quantity before any changes were made.

 

 

[F2] to set quantity to zero.

 

Select this option to delete the component from the package/set.

 

 

[F3] to return to PRODUCT CODE field.

 

QUANTITY UNIT

 

Select this option to change a components's quantity unit. If the product has only one unit of measure, the field defaults to that unit.

 

[Enter] to accept displayed quantity unit.

 

[F3] to return to QUANTITY field.

 

"1", "2", "3" etc to select displayed unit.

 

The cursor advances to the MAIN OPTIONS prompt. After the QUANTITY UNIT is entered or selected, the SELLING PRICE - SET and ACTUAL will be adjusted if necessary based on the FACTOR. If there is currently insufficient inventory the following promp displays.

[Enter] to clear prompt and return to MAIN OPTIONS prompt.

 

The STK indicator will display "N".

 

 

[F3] to return to QUANTITY UNIT or QUANTITY prompt.

 

'S'+SECTION# TO DISPLAY

 

If a package/set requires more than one screen to display all of the components, select this option to start display of components from any section desired.

 

Enter section to start display.

 

For example, to start the display at section 100, Enter S100. The program will display the chosen section at the top of the screen followed by it's components, followed by the remaining sections and their components.

 


CR TO CONTINUE

 

This option displays only when the last of the package/set components are displayed. Select this option to exit the package/set sales screen.

 

[Enter] to exit package/set sales screen.

 

The cursor advances to the ship/print options.

 

 

CR FOR NEXT PAGE

 

This option displays only when there are more sections and components for the package/set than can be displayed on one scren.

 

[Enter] to display next screen of sections and components.

 

F4 WHEN FINISHED

 

[F4] to exit package/set sales screen.

 

The cursor advances to the ship/print options. If all package/set lines that contain options have not yet been addressed the following warning prompt displays.

"Y" to exit package/set sales screen.

 

The options displayed will be used.

 

 

"N" to return to MAIN OPTIONS prompt.

 

F5 TO ADD LINE

 

[F5] to add line or component.

 

Select this option to add a new component line to the package/set for a product which is not normally part of the package. The added component is added for the single order only. If you want to add a component to the package/set as a normal option, you must add it via the package/set maintenance program.

 

 

** ENTER 'S'+SECTION NUMBER TO ADD TO (F3=BACKUP):

 

Enter section number to add component.

 

For example, to add a product to section 100, Enter S100. That section and components display and the cursor will position at the PRODUCT CODE field for entry.

 

 

[F3] to return to MAIN OPTIONS prompt.

 

F6 TO PRINT

 

Select this option to print the material usage report. The material usage report prints the package/set in a format which includes the section headings and any description lines. It is typically printed only for larger or more complicated packages/sets. See 31104 - PACKAGE/SET MATERIAL USAGE REPORT.


[F6] to access printer selection menu.

 

Once a printer has been selected, the material usage report prints and the cursor advances to the MAIN OPTIONS prompt.

 

 

F7 TO CHANGE PRICE

 

Select this option to change the selling price of the package/set. Appropriate security is required.

 

[F7] to change price.

 

** ENTER PRICE CHANGE PASSWORD OR PRESS F3 TO BACKUP:

 

Enter password.

 

[F3] to return to MAIN OPTIONS prompt.

 

 

PROCEDURE - COMPONENT OPTIONS

 

If a line number that contains options is specified for modification, the following prompt displays.

This prompt enables you to select any of the displayed options. The arrow ---> indicates the currently selected option.


SPECIFY LINE#

 

Enter line number to process.

 

The selection arrow moves to the line selected and the cursor returns to the above prompt. This indicates to the program that this line's component options have been processed and the OPT indicator will display in green.

 

 

[Enter] to redisplay options.

 

Select this option to redisplay the component options after making modifications.

 

 

[F3] to exit component options screen.

 

The cursor returns to the package/set sales screen.

 

 

F10=SELECT OPTION SHOWN

 

[F10] to select option indicated for line.

 

This also indicates to the program that this line's component options have been processed and the OPT indicator will display in green. The cursor returns to the MAIN OPTIONS prompt.

 

 

F11=MODIFY THE OPTIONS SHOWN

 

[F11] to modify option indicated for line.

 

The cursor advances to the PRODUCT CODE field. Once the option has been modified, the cursor will return to the MAIN OPTIONS prompt. This also indicates to the program that this line's component options have been processed and the OPT indicator will display in green.

 

 

 

PACKAGE/SET SHIP/PRINT OPTIONS and COMPONENT EXPLODING

 

Once you exit the package/set sales screen, the order detail screen redisplays at the MAIN package/set line. The ship/print options will then display for the MAIN package/set line. You can press [Enter] to update the line immediately or choose a ship/print option. See 31560 - SALES ORDER ENTRY, SHIPPING PROCEDURES. Any ship/print options you choose for the MAIN package/set line become the default values for the following COMPONENT lines.

 

If your system is configured accordingly, after the MAIN package/set line is updated, all of the individual components of the package/set will then be exploded into separate lines in the order. As each component line is generated, the ship/print options prompt displays. Press [Enter] to update the line or choose a ship/print option. The default ship/print option values are set to the MAIN package/set line's ship/print option values.

 

An example of an order with automatically exploded COMPONENT lines is shown below. The prices on the COMPONENT lines are not shown nor are they printed on any documents, except the order detail register. In place of the price "SET:" is shown followed by the MAIN package/set product code and line number.

 

Once all of the components have had lines generated, the cursor advances to the ORDER DETAIL OPTIONS prompt. See 31660 - SALES ORDER ENTRY, DETAIL ENTRY OPTIONS.
