Enter PRODUCT CODE of product to process or display.
Multiple products can share the same code (see 30974 - PRODUCT CODE INQUIRY). When adding a new product, if possible first find a similar existing product that the new product can be based upon and display it before adding the new product. Many fields will then default to the previously displayed product values. See 31015 - PRODUCT MAINTENANCE, MODIFYING PRODUCTS.
If you are adding a new nonlumber product (ie SA, SM or SE type), if possible first find a simmilar existing product that the new product can be based upon and display it before adding the new product. Many fields will then default to the previously displayed product values.
[Enter] to clear display and return to PRODUCT CODE field.
The product code of the selected product still displays.
"+" to add a new product code.
The program will automatically create a product code for you based on the next available product code following the code you displayed.
If you are adding any new product not based on an existing product, proceed as follows.

The program will automatically create a product code for you based on the next available product code in the system.
OR
Enter any number greater than 100000.
The program will use the number you enter as the product code, if that number is not already being used as an existing product code. If the program creates the product code 000000, it means you did display a product previously from which the program could generate a new code. In this case, press [F2] and find an existing product (see 31015 - PRODUCT MAINTENANCE, MODIFYING PRODUCTS) or create a new product code as described immediately above.
Whichever method you use to add a new code, the following prompt displays.
[Enter] to add new product code.
The program accepts the new product code and advances to the next data field. If a product was previously displayed, the program will use that product to display default values in each field.
[F1] to add new product code AND clear default values.
This option resets all the data fields to display null values. Select this option if you want to have the program generate a new product code from an existing product, but you do not want to use the data from that particular product as default values for the new product.
[F2] to cancel new product entry.
The program returns to the previously displayed product, if any.
[F3] to re-enter the previous product code.
[F9] to access quick add mode.
Use this feature to accept default values automatically in certain fields thus eliminating the need to tab through them one by one. This greatly speeds up the entry of new products especially if the new products are based closely on a previously displayed product. You will only be required to enter data in those fields which distinguish the new product from other products of the same product line.
[F1] to display product list by PRODUCT CODE for selection.
Type a number and press [F1] to begin the list at the number entered.
[F2] to display last product accessed.
[F4] to exit to menu.

When moving to a new screen you have the option of entering a different product code. Each screen is described in detail in 31017 - DISPLAY & ENTRY SCREEN FIELDS section of the manual. When you enter an existing product code the program then displays all of the available information pertaining to that product.
For detailed information about each field refer to PRODUCT MAINTENANCE - FIELDS MASTER SCREEN 1.
When adding product information on master screen 1, the following fields require entry: PRODUCT TYPE, DISPLAY DESC, BASE UNIT, PROD GROUP and at least one SUPPLIER CODE. All other fields are optional. If you add a product using quick add mode you are required to enter data only at the DISPLAY DESC field to distinguish the new product from the product on which it is based.
During quick add mode, the cursor will stop at the PRODUCT GROUP CODE and UNITS of MEASURE fields. You can simply press [Enter] to accept the default value or modify it as required to distinguish the new product. The cursor stops at the QUICK CODE and LOGICAL CODE fields whether or not the product you are basing the quick add product upon had data entered in these fields. You can press [Enter] to bypass them or enter desired codes. The program can also be configured so that the cursor only stops at the first SUPPLIER field. You can modify any field once the screen is completed by specifying a field to modify.
At each field you have the following options.
Enter code or data being requested.
[Enter] to accept displayed value or value you entered.
[F2] to clear field or set value to 0, depending on field data type.
[F3] to return to previous data field.
[F4] to exit to end of field options, when in modify mode.
[F5] to access applicable inquiry, where appropriate.
FIELDS - PRODUCT MASTER SCREEN 1
Enter product type code.
Currently recognized product types are: 'I': insulation, 'L': lumber, 'P': plywood, 'G': gyprock, 'SA': store average, 'SM': store markup, 'SE': service. See PROCEDURE - LOGICAL CODE FORMATTING and 31022 - PRODUCT TYPE MAINTENANCE.

Additionally, your system can be configured so that a product's quick code can be displayed throughout the system instead of the main product code.

You can enter multiple bar codes for a product. Multiple products can share the same code: refer to 30974 - PRODUCT CODE INQUIRY.

This alert message is generated when you enter a product, alternate, quick, logical or UPC code that is used by another product.
[Enter] to clear alert message.
The cursor advances to the next data field. You must then press [F3] to return to the previous field and re-enter the code.
Enter primary and any alternate supplier codes.
The cursor advances to each field automatically to enable you to enter supplier product codes and product rebates. Press [Enter] to bypass a field. Multi site environments can be configured to maintain the supplier sort order on master screen 3.

If you press [DEL] to delete the field value, the program will restore the value when you press [Enter].

MASTER SCREEN 2
This section explains in detail the procedures required to add new products to inventory and complete data entry on master Ssreen 2. During quick add mode, master screens 2 and 3 are bypassed completely. All fields default to the previously entered or displayed values.
Refer to the 31017 - PRODUCT MAINTENANCE DISPLAY & ENTRY SCREEN FIELDS for a detailed explanation of each entry field.
PROCEDURE - MASTER SCREEN 2
For existing products you can access master screen 2 by pressing [F9]. When adding a new product, press [Enter] to accept the field values entered on master screen 1. At master screen 2, the PRODUCT STATUS field will be completed. If you are in quick add mode, all of the relevant fields will be completed.

This field is used to flag package type products. For regular products this field MUST be set to "N". For package type products this field MUST be set to "Y". See 31008 - PACKAGE MAINTENANCE.
"Y" for package type product.
"N" for non-package type product.
[F3] to return to previous field.
You must enter a security tag code for each product. IdealWare currently recognizes 4 security tag codes.
"S" for soft security.
"H" for hard security.
"N" for no security.
"O" for other security.
[F3] to return to previous field.
This field is used to flag provincial sales tax exempt products.
"Y" for PST exempt.
"N" for PST taxable.
[F3] to return to previous field.
This field is used to flag goods & services tax exempt products.
"Y" for GST exempt.
"N" for GST taxable.
[F3] to return to previous field.
Enter FBM factor.
Applicable to lumber type products only. The program will calculate the factor based on the product code. This field accepts only the standard FBM factors calculated from the nominal thickness and width The, ie 1x12 = 1.0, 2x6 = 1.0, 2x4 = .66, etc.
[Enter] to accept the displayed value.
[F3] to return to previous field.
Enter lineal or square footage measure factor.
Lineal is applicable to lumber and gyprock type products and square footage to plywood and insulation type products. The program will calculate the factor based on the product code. This field accepts only the standard factors calculated from the nominal dimensions, ie 1x12 = 1.0, 2x6 = 2.0.

Enter location of product by store and other criteria.
Location codes are setup in the location maintenance program. The value entered here can be changed later.

Enter base unit of costing.
This is typically a temporary figure until costs are setup in the costing maintenance program.

Enter product weight.

Enter minimum gross profit percentage.

Products with a percentage value in this field will require entry of an override password to sell at a price that would cause the gross profit for the product on the sale to fall below the value entered here. The following warning displays during sale order entry.

This field sets the number of pieces in various package sizes. Applies to lumber, plywood and gyprock type products only.

If your system is configured to track products by serial numbers or purchase orders, this field is used to indicate which. Otherwise this field defaults to "N".
If product sales should update OTHER SALES STATS rather than normal SALES STATS set this option to "Y", otherwise this field should be left to the default "N". OTHER SALES STATS are those which do not affect the gross profit on a sale. Therefore, a before taxes $1,000 invoice that has a $200 component of OTHER SALES and a $500 cost would have a gross profit% of 30% rather than 50%. This is useful for service products such as delivery which you might not want to be included in the gross profit calculation. Customer balances and statistics screens and the salesman balances/statistics screen show OTHER SALES$ separately.

If sales of this product should allow or require the entry of a cost, set this option to "Y", otherwise this field should be left to the default "N".

During sale order entry, when an EXTRA COST product is entered, the sales order entry program automatically prompts for a cost. Extra costs are accumulated on the order and reduce the gross profit for the order. EXTRA COST product lines do not print on the invoice or picking list documents.

Applicable only to EXTRA COST type products. If field 28 is set to "Y", you have the additional option of flagging the product as an "accrual" EXTRA COST product. The sales order entry program then also prompts for a supplier code. When the order is updated, "accrual" extra cost product entries are updated to the specified supplier.

In a single store environment this field defaults to the normal store code.
Displays product code entered or created in Master Screen 1.
Enter quantity at which reordering product is necessary.
The unit used should be the same at the normal costing unit with the supplier.

Enter normal reorder quantity.
[Enter] to accept default value of 1.
[F3] to return to previous field.
Displays the list of supplier codes as entered at master screen 1. You have the option to change the order if there are multiple suppliers.
[F1] to shuffle supplier order.

This field applies to SM type products only and is based on the selling price derived from the base pricing value.
Enter base markup percentage used to calculate price of product.

PURPOSE - LOGICAL CODE FORMATTING
Standard formats exist for product logical codes. By using these standard formats IdealWare can interpret certain values from the codes and use them to calculate FBM and LINEAL/SQFT factors. They also enable IdealWare to associate similar products with one another. In addition, with logical codes properly set up for lumber products, when any subsequent changes to lumber product logical codes are made the IdealWare will automatically recalculate the FBM and the LINEAL/SQFT factors which are displayed on maintenance master screen 2.
PROCEDURE - LOGICAL CODE FORMATTING
Product logical codes are set up as follows.
LUMBER PRODUCTS - PRODUCT TYPE "L"
Lumber logical codes are up to 13 characters in length.
Characters 01 & 02 = thickness (numeric only).
Characters 03 & 04 = width (numeric only).
Examples: 2x4 = 0204, 2x10 = 0210.
Fractional measures: 7/16x4 = 7604, 5/8x4 = 5804, 3/4x4 = 3404, etc.
Character 05 = grade (alpha and numeric permitted).
IdealWare currently recognizes the following grade categories: #'2' & BTR (C&S), #'3' (Utility), #'4' (Economy), 'A'-clear, 'B'-clear, 'C'-clear, 'D'-clear, 'F'acia, 'K' (tight knots), 'L' (A-clear shorts), 'M'ill Run, 'N' (Fencing), 'Q'uality, 'S'elect, 'T' (Stud Grade), 'U' (Supreme).
Examples: 2x4 Stud = 0204T; 2x10 Economy = 02104.
Character 06 = species (alpha and numeric permitted).

Characters 09 & 10 = length (numeric only, except for 'RL' for random lengths).
Examples: 2x4 Stud, Spruce, Green, Rough, 8 footer = 0204TSGR08; 2x10 Economy, Hemlock, Treated, S2S, 12 footer = 02104HT212.

Characters 09 & 10 = minimum length (numeric only) for a range code.
Characters 11 & 12 = maximum length (numeric only) for a range code.
Examples: 2x4 Stud, Spruce, Green, Rough, 10-14 footers = 0204TSGR1014; 2x10 Economy, Hemlock, Treated, S2S, 8-12 footers = 02104HT0812.
Range of lengths is optional: if characters 9-12 are present and character 13 is absent, the program interprets this as being a range code. Range Codes are not actually inventory items but are used to define range prices and to aid in the processing of lumber ranges in the purchase ordering and sale order programs.
Characters 11, 12 & 13 = pack size (numeric only).
Examples: 2x4 Stud, Spruce, Green, Rough, 8 footer, 150 pieces = 0204TSGR08150; 2x10 Economy, Hemlock, Treated, S2S, 12 footer, 250 pieces = 02104HT210250.
Pack size is optional. If character 13 is present, the program interprets characters 9 and 10 as length and characters 11-13 as the pack size.
IdealWare uses the first four character positions (thickness and width) to calculate the FBM factor, character positions nine and ten (length) to calculate lineal footage, and the final three character positions (pack size) to calculate pack size. When setting up lumber products where the only difference between individual items is the length and/or the pack size, simply enter a decimal point followed by the new length and/or pack size to add the new length or pack size. The system will automatically generate a new product code, display description and logical code for the new product item.
Example 1
The original product is: 2x6 utility grade, fir, green, S4S 6 footer. The logical code for this product is: 02063FG406. The display description for this product is: 2x6 S4S UTIL GRN FIR 06.
You want to add 8, 8-12, 8-14, 10, 12, 14 ,16, 18 and 20 footers.
If you are adding a new product, key in the information for the original product. In the PRODUCT CODE field type 100000+. In the PRODUCT TYPE field type "L". In the DISPLAY DESC field type 2x6 S4S UTIL GRN FIR 06. And in the LOGICAL CODE field type 02063FG406.
To add the 8 foot length:
At maintenance master screen 1, retrieve the original product and press [Enter] to clear the display.
If you have just added the product to inventory it will be displayed by default.
In the PRODUCT CODE field type .08 and press [Enter].
The program will automatically generate a new display description and logical code based on the 8 foot length. The new display description will be 2x6 S4S UTIL GRN FIR 08. And the new logical code will be: 02063FG408.
To add the remaining lengths:
In the PRODUCT CODE field type .0812 and press [Enter] to add the 8-12 footer range; press [Enter] to clear the display and type .0814 and press [Enter] to add the 8-14 footer range. Similarly, type .10 to add the ten footer; .12 to add the twelve footer; .14 to add the fourteen footer; .16 to add the sixteen footer; .18 to add the eighteen footer; and .20 to add the twenty footer.
This will generate a complete series of products.
