31663 Sales Order Entry, Detail Entry Product Lines (Pieces & Lengths)

 

PURPOSE

 

This article describes the fields and specialized routines that are applicable for pieces and lengths entry. Pieces/lengths products are those products where the characters "LIN" are part of the base unit of measure description. Pieces/lengths products include the following:

  • STORE AVERAGE type products (when sold by lineal measure).
  • LUMBER type products.
  • GYPROCK type products.

Pieces and lengths entry enables you to enter quickly multiple lengths of a product on one detail line as length tallies.

 

 

LUMBER and GYPROCK PRODUCTS

 

When pieces and lengths are entered for LUMBER (type "L") or GYPROCK (type "G") products, the program accumulates the line's total quantity (FBM for LUMBER, SQFT for GYPROCK) and displays this total at the QUANTITY field.

 

Each length entered is associated with an individual product defined in the product master file. This implies that you are actually selling multiple products on one detail line. The sales order entry program stores the pieces and lengths that are entered for the line as a tally list and displays this information below the product description and prints this information on the various documents.

 

Different lengths of the same type of product are associated with each other via the product LOGICAL codes. When a product for which pieces and lengths are permitted is entered at the PRODUCT field, the sales order entry program stores that product's LOGICAL code. During pieces and lengths entry, when a length is subsequently entered, the program creates a new LOGICAL code that equals the first 8 characters of the initial product's LOGICAL code plus the just entered two character length code. The program then ensures that a product that has this new LOGICAL code exists.

 

For example, the initial product's LOGICAL code equals "02042FG408" and a 10 foot length is entered. The sales order entry program will verify that a product with the logical code "02042FG410" exists in the product master file before adding it to the tally.

 

RANGE CODES can also be entered as the initial product code. These are not real products and may or may not be set up in the product master file and pricing master file as normal products. A RANGE CODE is used to indicate the range of minimum and maximum lengths that can be included during pieces and lengths entry and also displays a product description that shows this range.

 

For example, at the PRODUCT field you might (a) enter a code equal to "02042FG40812" or (b) select a product code that has a LOGICAL CODE equal to "02042FG40812". The sales order entry program determines that this is a RANGE CODE and displays the appropriate description, in this example: "2X4 S4S STD&BTR GR FIR 8-12". The program will then display warning prompts if subsequent length entries are outside of the 8 to 12 foot range.


RANGE CODES can be used when different pricing is required for a range of lengths as opposed to selected lengths. RANGE CODES are also typically used when the order is initially made up but the actual lengths are not known until after a yard count is done. In this case notes may be appended to the product description indicating the lengths the customer would prefer and a ONE LENGTH quantity initially selected. After the order has been filled, the line is modified and the actual pieces and lengths selected from the yard are entered.

 

 

STORE PRODUCTS and RANDOM LENGTH LUMBER PRODUCTS

 

Pieces and lengths entry is only allowed for STORE products (type "SA" and "SM") that have the characters "LIN" as part of the BASE UNIT OF MEASURE description. The characters "LIN" are used to indicate that the product base unit of measure is equal to LINEAL FEET. These could be any products sold by a base length unit rather than another unit.

 

A RANDOM LENGTH LUMBER product is a LUMBER product that has the characters "RL" as the 9th and 10th characters of it's LOGICAL code. These types of lumber products are used when individual lengths are counted for stock keeping purposes.

When pieces and lengths are entered for either of these types of products, the sales order entry program accumulates the line's total quantity (FBM for LUMBER, LIN for STORE PRODUCTS) and displays this total at the QUANTITY field. The program stores the pieces and lengths that have been entered as a length tally and displays this information below the product description and prints this information on the various documents.

 

When pieces and lengths are entered for STORE or RANDOM LENGTH LUMBER products, you not specifying a different product for each length being entered. Instead the program accumulates a total quantity for the initial product that you entered at the PRODUCT field.

FIELDS

 

LINE

 

Displays the line number associated with the detail line. See 31661 - SALES ORDER ENTRY, DETAIL ENTRY LINE INITIALIZATION.

 

TP (LINE TYPE)

 

Displays "P", Product Line Type. See 31661 - SALES ORDER ENTRY, DETAIL ENTRY LINE INITIALIZATION.

 

PRODUCT CODE

 

Displays the product code as entered at the PRODUCT field. See 31662 - SALES ORDER ENTRY, DETAIL ENTRY PRODUCT LINES (REGULAR).

 

PRODUCT OPTIONS PROMPT

 

The PRODUCT OPTIONS PROMPT displays for products where the characters "LIN" are part of the base unit of measure description.

Enter number of pieces and advance LENGTH entry.

 

[Enter] or [F4] to exit pieces and lengths entry.

 

The cursor advances to PRICE field.

 

 

[F1] to toggle between REPLACE and ACCUMULATE entry modes.

 

Applicable to LUMBER and GYPROCK products only.

 

 

ACCUMULATE MODE

 

If you enter a length that has been previously entered, the program will accumulate the new entry to the previous entry's quantity.

 

REPLACE MODE

 

If you enter a length that has been previously entered, the program will replace the previous entry's quantity with the new quantity.

 

[F3] to return to PRODUCT OPTIONS PROMPT.

 

Selecting this option also clears any pieces and lengths that have already been entered.

 

 

[F7] to access product inquiry by length.

 

This inquiry shows relevant statistics for all of the various lengths of the product. See 30979 - PRODUCT INQUIRY BY LENGTH. Applicable to LUMBER and GYPROCK products only.

 

 

[F8] to display pieces and lengths as entered window.

 

This window displays all pieces and length entries for the current entry. This can be helpful for ensuring that the data of handwritten tallies has been entered correctly.

 

 

LENGTHS ENTRY

Enter and advance to PIECES entry.

 

When the length is entered the pieces and length entry will display under the product description. The accumulated quantity will display at the QUANTITY field.

 

 

[Enter] to accept displayed default length.

 

[F3] to return to PIECES entry.

 

[F7] to access product inquiry by length.

 

This inquiry shows relevant statistics for all of the various lengths of the product. See 30979 - PRODUCT INQUIRY BY LENGTH. Applicable to LUMBER and GYPROCK products only.

 


OF (QUANTITY OF or QUANTITY UNIT)

 

Normally after pieces and lengths entry, this field automatically defaults to the quantity unit associated with the pieces and lengths selected and the cursor advances to the PRICE field. If the QUANTITY UNIT must be modified, press [F3] from the PRICE FIELD. The QUANTITY UNIT defaults to one of the following values:

  • LUMBER PRODUCT = LIN.
  • GYPROCK PRODUCT = SQFT.
  • STORE PRODUCT = BASE UNIT OF MEASURE.

Enter quantity unit of measure.

 

"1", "2", "3", "4" to select unit and advance to PRICE field.

 

Unit PACKS is not allowed for LUMBER pieces and length entries.

 

 

[F3] to return to QUANTITY field.
