31539 Batch Update Sequencer

 

PURPOSE

 

The batch update sequencer program is part of IdealWare's multi-store integration system and is used when the head office and the stores operate on separate computer systems. The batch update sequencer program ensures that transactions that are updated on a store system are transmitted to the head office system where they are also updated in the same sequence or order that they were updated at the store. This enables the head office system to maintain the same balances and statistical information as the individual stores.

 

The Batch Update Sequencer is accessed from:

  • Sales Processing menu.

 

PROCEDURE - OUTLINE OF PROCESSING

 

1. STORE UPDATES A BATCH

 

All information is updated by the following types of batches:

 

Order Register Batches

Inventory Receiving Batches

Inventory Transfer Batches

Inventory Adjustment Batches

Stock Count Purge Batches

Stock Count Entry Batches

Month End Purge Batches

 

With multi-store integration, only one batch can be updated at a time.

 

 

2. BATCH IS TRANSMITTED TO THE HEAD OFFICE SYSTEM

 

Once the batch has been updated at the store, it is automatically transmitted to the head office computer system. The system can do this over regular dial up telephone lines.

 

3. BATCH IS INTEGRATED AT THE HEAD OFFICE

 

At the head office, the batch update sequencer program integrates the batches that have been transferred from the stores and makes them available to be updated on the head office system.

 

4. BATCH IS UPDATED AT THE HEAD OFFICE

 

At the head office, the batch update sequencer program is used to update the batches that have been transmitted from the stores in exactly the same sequence that they were updated at the stores. This ensures the integrity of the balances in the head office database.

 


PROCEDURE - MONTH END PROCESSING

 

When the Inventory Month End Purge is run at each store, a MONTH END PURGE BATCH is created and transferred to the head office.

 

At the head office, the inventory month end purge can not be run until all the batches have been updated for every store, up to each  store's MONTH END PURGE BATCH.

 

 

PROCEDURE - BATCH PROCESSING

 

The batch update sequencer program consists of the following components.

 

1. BATCH INTEGRATION

 

Integrates the batches that have been transferred into the head office system and makes them available for update.

2. BATCH INQUIRY

 

Allows inquiry of batches that have already been updated and batches that are yet to be updated.

3. BATCH UPDATE

 

Various options allow you to update batches.

PROCEDURE - BATCH INTEGRATION

 

Select Batch Update Sequencer from the Sales Processing menu. When you first access the program, the "INTEGRATING TRANSFERRED BATCHES" window is displayed (see example display below) and the batches that have been transmitted from the stores are integrated into the system. This window also appears whenever you run any of the batch entry programs on the head office system.

Enter store code to process that store's batches.

"C" to process current batches.

 

"H" to display updated batches.

 

"B" to display both.

 

The batch integration display is populated based on the store and status options selected. Each line of the display represents a batch that was updated at the store and transferred to the head office.

PROCEDURE - BATCH INQUIRY

 

The batch update sequencer program enables you to display batches that have been updated and/or batches that are yet to be updated.

FIELDS

 

STORE CODE

 

Displays the store code entered for the batches to display and/or update. ALL indicates all stores.

 

STATUS

 

Displays the status selected.

 

YARD

 

Displays origin store code of the batch.

 

SEQ #

 

Displays the SEQUENCE NUMBER that was assigned to the batch and consists of the two character store code plus a 6 digit number.

 

When a batch is updated at the store, it is assigned it's SEQUENCE NUMBER. The SEQUENCE NUMBERS are in sequential order by update and indicate in which order the batches are to be updated at the head office. The batch update sequencer program will not update a store's batch at the head office unless all of that store's previous batches have alrady been updated.

 

WK

 

If your system is configured for weekly updates, this field displays whether or not the order register batch was a weekly update batch. Weekly update batches are used to revolve weekly inventory statistics when the order register batch is updated.

 

Y indicates the batch is a weekly update batch.

BLANK indicates the batch is not a weekly update batch.

 

BATCH

 

Displays the batch number which consists of the two character source code followed by a dash followed by the batch reference number.

DESC

 

Displays the full description of the batch type.

 

STATUS

 

Displays the update status of the batch. The various types of STATUS are as follows.

 

TO UPDATE

 

Indicates that the batch has not yet been updated on the head office system.


UPDATING

 

Indicates that the batch is in the process of being updated on another terminal.

 

UPDATED

 

Indicates that the batch has been updated on the head office system.

 

UPDATE START

 

If the batch STATUS is UPDATING or UPDATED, this displays the date and time that the update started on the head office system.

 

UPDATE FINISH

 

If the batch STATUS is UPDATED, this displays the date and time that the update completed on the head office system.

 

 

PROCEDURE - BATCH UPDATE

 

The batch update options enable you to perform the following functions.

  • UPDATE ALL BATCHES FOR ALL STORES
  • UPDATE ALL BATCHES FOR A SELECTED STORE
  • UPDATE NEXT BATCH FOR A SELECTED STORE
  • UPDATE TO A SPECIFIED BATCH FOR A SELECTED STORE
  • CHANGE NEXT BATCH TO UPDATE FOR A SELECTED STORE
  • FREEZE OR UNFREEZE BATCH UPDATES

Batches are updated in sequential order by SEQUENCE NUMBER. If there is a MISSING batch, the program will not attempt to update subsequent batches until the MISSING batch has been integrated and updated. From the point of program entry, the procedures for updating batches are as follows.

 

STORE CODE

 

Enter store code of batches to display and/or update.

 

"A""L""L" to display batches of all stores.

 

[F4] to exit to menu.

 

STATUS

 

This field enables you to select the status of the batches to display and/or update.

 

"C" to display current batches only.

 

The STATUS field will display BATCHES TO UPDATE.

 

 

"H" to display history batches only.

 

The STATUS field will display UPDATED BATCHES. This option is not applicable if you want to update batches.

 

 

"B" to display current and history batches.

 

The STATUS field will display ALL BATCHES.

 


BATCH DISPLAY

 

The selected batches will be displayed one batch per line. The options and procedures for updating the batches are described in Batch Sequencer Update, Batch Update.

OPTION - UPDATED BATCHES

 

There are no update options available when the status selected is UPDATED BATCHES. To start any batch updates, select a status of ALL BATCHES or BATCHES TO UPDATE and see the corresponding options. The following prompt displays.

When the next screen displays, the cursor returns to this prompt.

 

 

[F1] to start/stop batch updates.

 

Pressing [F1] enables you to stop all batch updates from occurring at the head office or if the updates have already been stopped to start updating again. This is typically only done when there might be problems with the batch updates and you want to investigate further. The following window displays.

OPTION - ALL BATCHES OR BATCHES TO UPDATE

 

To start any batch updates, select a status of ALL BATCHES or BATCHES TO UPDATE. The following prompt displays.

The program displays the print selection menu. Once the printer parameters have been set the program updates the next batch after the last updated batch. Once the the batch has been updated, the cursor returns to the STORE CODE field.

"U" to update batches to a specified batch number.

The program displays the print selection menu. Once the printers have been set the program updates the next batch after the last updated batch and continues to update the batches up to the sequence number entered here. Once the batches have been updated the cursor returns to the STORE CODE field.

The alert indicates that there is no batch on file for the sequence number entered. The cursor returns to the UPDATE TO SEQ# prompt.

NOTE: TO STOP THE UPDATES

 

Press [F4] at any time while the batches are being updated to stop updating after the current batch is updated. Once the current batch update is completed, the cursor returns to the STORE CODE field.

 

"T" to update all available batches for store, flagged TO UPDATE.

 

The program displays the print selection menu. Once the printers have been set the program updates the next batch after the last updated batch and then continues to update all of the remaining available batches which have been flagged TO UPDATE. Once the batches have been updated, the cursor returns to the STORE CODE field.

 

 

NOTE: TO STOP THE UPDATES

 

Press [F4] at any time while the batches are being updated to stop updating after the current batch is updated. Once the current batch update is completed, the cursor returns to the STORE CODE field.

 

"A" to update all available batches for all stores, flagged TO UPDATE.

 

The program displays the print selection menu. Once printers have been set the program updates the next batch after the last updated batch for the first store, and then continues to update all remaining batches for the first store flagged TO UPDATE. Once all the available batches for the first store have been updated, the program updates the available batches for the remaining stores. When all stores have been processed, the program begins again to update the first store's batches and continues until all batches are updated.

The alert indicates that there is no batch on file for the sequence number entered. The cursor returns to the UPDATE TO SEQ# prompt.

Pressing [F1] enables you to stop all batch updates from occurring at the head office or if the updates have already been stopped to start updating again. This is typically only done when there might be problems with the batch updates and you want to investigate further. The following window displays.

PROCEDURE - PRINTER SELECTION & REGISTER PRINTING

 

The printer selection window enables you to set the printers for the various types of batches. Once the printers have been set, the batches are printed to the corresponding printers before they are updated. You should always review the registers prior to updating the batches.
