29147 GENERAL SYSTEM GUIDE SECURITY SYSTEM
GS7-05 Creating and Maintaining User Groups

 

PURPOSE

 

Often in any organization many users are likely to perform the same or similar tasks. Although each of these users will have a unique user name and password to log onto the system, the tasks they perform will necessitate that they each have access to the same functions.

 

When two or more users require access to the same features and programs of the system they should be assigned to a common security profile. As a result, changes made to the profile affect all of the users who share that profile, thus making the supervisor's task of managing access to the system easier and more efficient.

 

Two or more users who share a common security profile are referred to as a user group.

 

 

PROCEDURE

 

Since the common tie that binds users as a group is the security profile, the first step is to create the security profile.

At the Ideal Utilities menu select Security/Password Maintenance, the following screen will be displayed:

FIELDS

 

EMPLOYEE CODE

 

Enter the operator code of the user you wish to access.

 

[F5] to display list of users for selection.

 

STORE CODE

 

Enter the normal store code associated with this user.

 

[F5] to Display list of store codes for selection

 

The system displays the current password and security profile of this user or you will be required to add them, see 29146 Adding and Deleting Users for instructions about how to add or modify users. Select the same security profile for all users of the same user group

 

 

You are returned to the Password Maintenance display where you may enter another Employee Code or press [F4] to exit and return to the Ideal Utilities menu

 

SECURITY NOTE

 

The "SUPER" security profile should be assigned to the system supervisor only. If more than one person is required to maintain the overall system, create a SYSOP security profile and group and grant the users of that group the system access they require and no more. Specifically, only super user should have access to security profile and password maintenance.
