TB2-05 Change Client

 

PURPOSE

 

The change client program allows you to change a client code or to combine the client information associated with one client code with another after you have changed or combined client matters. The program can also be used to delete clients.

 

To delete a client first create a new client with the client code "DELETED" and a dummy matter with the matter number "0000". See 14276 CLIENT/MATTER MAINTENANCE. To delete an existing client simply combine the client you wish to delete with the destination client set to DELETED.

 

Alternatively, you can create the new client code "DELETED" within this program. Simply set the destination client to DELETED and when prompted to "Change the Old to New?" enter "YES". This is not the recommended procedure, however. The first time you do this you will simply change the old client code to "DELETED" and leave all of the old client's data intact, not deleted. If there are existing matters for the client you wish to delete you will still have to set up a client code "DELETED" and a dummy matter number "0000" in the client/matter maintenance program or the change matter program so that you can delete the client's matters.

 

Change Client is accessed from:

  • Time Billing Processing menu.

 

PROCEDURE

 

Before you can change or combine clients you must first change or combine all matters. Select Change Client from the Time Billing Processing menu. The following prompts display.

 

SOURCE CLIENT:

 

Enter the source client code.

 

[F4] to exit to menu.

 

[F5] to display list of clients for selection.

 

MATTERS STILL EXIST FOR THIS CLIENT - USE MATTER CONVERSION PGM - PRESS 'CR':

 

This alert message appears when there are matters still existing for the source client.

 

[Enter] to clear the alert message .

 

Exit the program and run the change matter program to clear all matters from the client and then rerun the change client program.

 


DESTINATION CLIENT:

 

Enter the destination client code.

 

If you enter a client code that is not on file you will be prompted whether or not you wish to change the old code to the new code.

 

 

** CLIENT IS NOT ON FILE. CHANGE OLD TO NEW ? (Y/N):

 

"Y" to change source client to destination client.

 

"N" to cancel and return to DESTINATION CLIENT field.

 

If you enter a client code that currently exists in the system you will be prompted whether or not to combine the data associated with the old code with the data associated with the destination code.

 

 

** CLIENT IS ALREADY ON FILE. DO YOU WANT TO COMBINE ? (YES/NO):

 

"Y""E""S" to combine source client with destination client.

 

"N""O" to cancel and return to DESTINATION CLIENT field.

 

[F3] to return to the previous field.

 

[F5] to display list of clients for selection.
